The post Covid-19 era forces all businesses to adapt to the new reality of revising the way they operate with the goal, first their survival and then create value and goodwill. To achieve these goals, businesses design and then implement transformation projects that include the full range of their business. This is true in both the private and public sectors.

They are called transformation projects of a company, its operational restructuring, skill upgrading, upskilling, cost optimization, simplification of processes, etc.

Transformation projects are usually characterized by a long implementation horizon, are complex in their design and management, require the participation of many different departments and “consume” large amounts of financial and human resources.

The problem with business transformation projects is that if the objectives set by these projects are not achieved from the outset there will be a direct impact on the viability of the company or organisation implementing them.

The possible sources of problems in transformation projects that will jeopardize the entire project and the viability of the company are:

  • The ambiguity in determining corporate targeting due to a lack of reliable quantifications (factors) and results, respectively.
  • Weak project management.
  • The lack of communication protocols between the parties involved.

Proper design of the project means that from the outset:

  1. The ultimate purpose of the project has been correctly formulated.
  2. Completeness in setting measurable targets.
  3. Effective Job description of the parties involved in the project.
  4. A clear definition of decision-making and by whom.
  5. Completeness in control and early detection mechanisms, etc.
  6. Clarity in the roles taken over by the parties involved.
  7. Accurate measurements of the objectives achieved by each deliverable part of the project due to the application of clear measurement indicators.

These topics should be designed and answered in every detail before the start of the project. If the project starts and satisfactory answers have not been given to them, the chances of negative consequences are increased to appear. Usually the answers to these questions are given by Project Management which undertakes to carry out the project.

The Insurance Safeguard that further ensures the successful implementation of the project

The company to ensure and increase the chances of successful implementation of the transformation project and if it considers that project  management that undertakes the project may not be able to bring it to full success, could go into a Project Assurance Program.

Project Assurance Program must run parallel to the transformation project throughout, from its original design to its delivery. The purpose of the Project Assurance Program is to:

  • Monitor and provide objective information on the progress of the project in a measurable and transparent manner.
  • Identify any emerging issues and risks that may affect the achievement of project objectives.
  • Propose preventive structural actions to resolve.
  • Consider its effective management.
  • Consider the effective involvement of the appropriate parties at the right time.
  • Consider the possibility of cost reduction without affecting the quality of the project’s implementation.
  • Consider the effective management of financial and human resources, respectively.

Since organizations and businesses manage to use reliable project managers who know how to implement and calculate all these parameters and issues mentioned above, it is not necessary to hire a third-party provider to run Project Assurance Program.  Otherwise the Project Assurance Program will be extremely helpful.
